From Inventory to Ownership: The Next Step After Your Kit Tune Up
Last year at this time, we talked about giving your kits a back-to-school tune up — inventorying what you have, charging batteries, and restocking what went missing over the summer. This article picks up where that one leaves off, and the two work best as a set: it's much easier to design a storage system around materials you've already taken stock of. Because once you know what you have, a second question shows up — the one that decides whether your beautiful August reorganization is still standing in October. Not just where does everything go, but who is responsible for keeping it there.
If the answer is "me," you've signed up for a year of quiet maintenance nobody sees. But there's a better answer available. Caring for shared materials is something students can genuinely own, and when they do, it stops being cleanup and starts being part of the work. Students who know where a part belongs, and why it matters that it gets back there, are practicing the same habits of care and precision that building and coding demand. Handing them that responsibility isn't offloading a chore. It's inviting them into a part of the learning that usually stays invisible.
This article offers ways to build a system that makes that possible.
Design the routine before you design the shelf
Before you label a single bin, picture the last two minutes of class: a room full of students, half-built robots, one bell. Where does each kit go, and whose hands put it there? Answer that first, because the routine determines the storage — not the other way around.
- Choose grab-and-go or shared-station on purpose. If kits travel to tables, build self-contained units — one container per group with everything inside. If students come to a central parts area, organize by part type instead. Many classrooms land in between, so decide deliberately instead of discovering the mismatch in week four.
- Give each group a consistent, numbered kit. Students take better care of "our kit" than of "a kit." Consistency also means a missing piece traces back to a specific group, which turns a mystery into a conversation.
- Give charging a fixed home. Batteries and controllers that need to charge should have one named location between classes, and one student per group responsible for getting them there.
- Decide now what happens to unfinished builds. This is a detail that can quietly wreck systems. Whether it's a labeled shelf, a "work-in-progress" bin, or a photo-and-disassemble routine, choose before the first build runs long.
You don't have to invent any of this from scratch. Label so a student never has to ask where something goes
Every time a student has to ask you where a part belongs, the system has handed responsibility back to you. Good labeling helps make student ownership possible.
- Label with pictures, not just words. For younger students and emerging readers, an image of the part does more than its name ever will. The Parts Locator Sheets and the posters at posters.vex.com are ready-made image sources you can print and cut.
- Put labels where they can't move. Loose lids can get swapped between containers, so put labels on the container itself, where they stay attached to the parts they describe.
- Make the tape match the screen. If a Brain has "Kit 4" on a piece of tape but shows up in VEXcode as an unnamed default, students have to guess which robot on the list is theirs, and every connection becomes a small negotiation with you. Rename each Brain to match its physical label, and that dependency disappears.
- Let students make some of the labels. A group that made the label for the shaft bin knows where shafts go. It's ten minutes of class time that buys you a year of recognition.

Hand students real roles, not just instructions
A system students maintain needs jobs students hold. Name them the way you would any classroom role, and rotate them so everyone learns the whole system.
- Assign kit roles and rotate them. A Parts Manager checks the kit against the label images; a Power Manager returns batteries to the charger; a Field Manager handles tiles and game elements. Rotating means no group ends up with one kid who "does cleanup."
- Pro Tip: Make time to practice these roles and routines at the start of the year so everyone has a shared foundation of what the job is, and students can help each other be successful.
- Start cleanup timing generously, then set a shared target. Allot about ten minutes while students are still learning the system. As it solidifies, name a goal and work toward it together — 3-5 minutes by October may be reasonable. A target students are chasing lands differently than a rule they're held to.
- Put the weekly audit in student hands. Have one rotating group spot-check two kits against the parts poster and report what's missing. They're practicing inventory skills, and you're catching shortages early instead of mid-lesson.
- Let students fix the system when it fails. If cleanup keeps running long, ask them why and what would help. They'll tell you which bin is in the wrong place — and a system they helped repair is one they'll defend.
Don't forget the big, awkward things
Field Tiles, walls, and game elements are the pieces most likely to end up stacked in a corner.
- Use the clear pockets on the Storage Bags. Label by contents and teacher name if you share a space.
- Make field setup a student job too. Assembling and breaking down the field is a two-minute routine a rotating pair can own.

Classroom organization systems aren't really about tidiness. The inventory you did last month and the system you build this month are both yours to set up — but they don't have to be yours to carry. When students share responsibility for the materials, they're participating in every phase of the work, including the unglamorous ones, and that participation is worth as much as anything that happens during the build.
